Role and Responsibilities

  • Client Communication: Act as a point of contact for customers during the onboarding process, responding to inquiries, providing updates, and ensuring clear communication.
  • Ensure Compliance: Ensure that all client onboarding activities comply with Proper's scope of work, identify exceptional activities, and propose alternative options for non-compliant clients.
  • Documentation Collection: Gather and review client documentation such as client agreement, addendums, scope of work, third party access, accounting database, work papers, and any financial documents used by the client for accounting purposes.
  • Troubleshooting and problem resolution: Address any issues or concerns that arise during the onboarding process to ensure a smooth transition for the client.
  • Providing Guidance: Offering assistance and guidance to clients on the onboarding process, including explaining procedures and requirements.
  • Cross-functional Collaboration: Work closely with internal teams such as sales, IT, POPs. and delivery to coordinate efforts and deliver a seamless onboarding experience for customers.

Key Activities

  • Schedule and lead onboarding meetings with new clients.
  • Maintain ongoing communication with clients throughout the onboarding process via email, phone, arrows, and other channels.
  • Gather feedback from clients regarding their onboarding experience.
  • Track onboarding progress and ensure that all milestones are met on time.
  • Support to create 1password vaults, including adding or updating login credentials.
  • Prepare the accounting calibration documentation based on the findings from the analysis of the information of each client.
  • Prepare the Bank Directory for each client accounting calibration.
  • Keeps a track of all the bank login access of current onboarding clients.
  • Prepare the accounting discovery work plan (review SOW, request background details, confirm dates and review sales notes)
  • Analyze the information contained in the PMS of the client in order to identify the processes in place of each area (AR, AP, BR, MEC, Reporting)
  • Review the accounting calibration and calendar with the client (confirm process standardization, variations and data collected)Maintains Co Pilot coding rules updated for each onboarding client.
  • Follow-up on missing information, requests and pending items needed to complete the Calibration.
  • Start the transfer of knowledge (TOK) with the Delivery team (review, corrections, follow-up, preparation, transition timeline)
  • Active follow-up during the first month of client service to ensure that the POD is performing all required tasks.
  • Escalate any identified and documented issues or inconsistencies to the Implementation Specialist for resolution.
  • Keeps the Onboarding inbox organized and archived.

Skills/Requirements

  • Hard/Technical Skills:
  • 2+ years of experience in customer-facing roles, preferably in onboarding or implementation.
  • Strong organizational skills with attention to detail.
  • Accounting experience
  • High proficiency in English (written and spoken).
  • Familiarity with CRM and onboarding tools.
  • Soft Skills:
  • Excellent interpersonal and communication skills.
  • Strong problem-solving and conflict-resolution abilities.
  • Ability to manage multiple projects and clients simultaneously.
  • Nice-To-Have Skills / Experiences
  • Experience in SaaS or technology industries.
  • Experience with data analysis and reporting.
  • Experience in an accounting software

Degree & Years of Experience

  • Bachelor’s degree in Accounting or a related field.
  • 2+ years in a related accounting role, with experience in client-facing and data analysis
